Youth Conference Guidelines

 

Guidelines for Conference Participants When in Madison

  Every community has laws and customs that govern and guide behavior.

  An Orientation Session for youth and their chaperones is mandated. Youth will pick up their conference packet at that time.  The purpose of the session would be to welcome youth and give specific guidelines and rules about conference participation and conduct in Greater Madison.

Here are some that apply in Madison:

Conference participants should respect the rights of others.  That means there should be no disruptive behavior such as running and playing in the corridors, playing loud music or participating in illegal activities in the hotel.

This is a working conference.  All registrants should participate in all sessions.  It is fun sharing information and experiences.

All registrants should be prompt to all sessions in order to show respect for the speakers and presenters.

bullet

Youth under the age of 18 should not be in the sleeping rooms during the conference without supervision of a responsible adult.

At 11:00 p.m., all youth under  18 should be in their rooms for the night.  Adult chaperones should check on their youth at this time.  Youth should not leave their rooms or the floor without permission of a responsible adult. After 10:00 p.m., it is polite to be very quiet in hotel sleeping rooms.

Conference participants are to have a good time, learn a lot and make new friends and lasting connections.

Adult chaperones should know where their youth are at all times and must accompany them when they leave the hotel.

bullet

There is NO SMOKING in meeting rooms or other conference sponsored activities and no smoking for anyone under the age of 18.

The telephones in the rooms will be off.  Adult chaperones may have them turned on and will be responsible for all charged calls and any and all long distance charges.

Meals are a special occasion, so please dress appropriately.  Please do not wear sweat pants, T-shirts or bathing suits to evening meals and special occasion receptions.

Youth in out-of-home care cannot share a bed.  Please be prepared to bring a sleeping bag if a cot is not available.

There is no lodging cost for youth under the age of 18 when an individual 18 or older is in the same room.  Please keep this in mind when planning who will share a room.

A violation of the guidelines may result in your being asked to leave the conference.

bullet

Alcoholic beverages may be purchased by anyone of legal age of 21 and over in licensed establishments until 9:00 p.m.

Youth may consume alcohol under supervision of parents.

bullet

Possession or influence of alcohol or drugs by Youth is illegal and is punishable by law.

bullet

Madison, Wisconsin has enforced smoke free zones in bars and restaurants and most public places.

NOTE: Wisconsin laws prohibit individuals under the age of 18 from purchasing or possession cigarettes and other tobacco products and individuals under the age of 21 from purchasing alcoholic beverages, including beer.  Madison and other American cities, prohibits smoking in all or most public places.

 If you are bringing youth to the conference, you are responsible for that youth. Please share these rules with your youth prior to attending the conference and we look forward to seeing you at the Youth Orientation Session prior to the conference opening.  Thank you!
